If you’re running a business in the Czech Republic, you’ve probably heard of the data mailbox (datová schránka). It’s not just another digital tool – it’s an official channel through which authorities communicate with you. Whether you’re a freelancer, a legal entity, a homeowners association (SVJ), or part of a non-profit, having a data mailbox is mandatory. But more importantly – you absolutely need to keep an eye on it.
What is a data mailbox – and why do you have one?
A data mailbox is essentially the digital version of a registered letter. It allows you to receive and send legally binding messages to and from public institutions. If you’re an entrepreneur, your mailbox was probably set up for you automatically – no need to apply.
Why you need to check it regularly
Here’s the part many people don’t know:
📌 Any message delivered to your data mailbox is considered officially received after 10 days – even if you never open it.
This means a tax notice, a court decision, or a request from a government office could arrive, and legal deadlines (like appeals or submissions) could start ticking – whether or not you’ve actually read the message.
So my advice? Set up email or SMS notifications and check your data mailbox at least once a week – ideally every day.
Who is required to have a data mailbox?
You’re legally required to use a data mailbox if you are:
a legal entity registered in the Czech commercial register,
a self-employed person (OSVČ),
a non-profit, association, or SVJ,
or working in certain professions (e.g. lawyers, tax advisors, court-appointed experts, interpreters, etc.).
Most of these mailboxes have already been created automatically for eligible individuals and businesses.
